The demo recap, drafted before the call has cooled

A companion reads the whole transcript, quotes the prospect’s own words back, lists every commitment with an owner and a date, and leaves a recap under 180 words in your drafts.

Within an hour of the demo ending, a draft is waiting: their problem quoted exactly as they said it, answers to anything you deferred on the call, your commitments with dates, and one dated next step.

A companion reads the full transcript to build it, not the highlights. Fireflies and Zoom are native integrations for the recording, and every Gmail send, reply, label and archive stops at an approval card, so nothing leaves your account until you read it.

What is the exact prompt?

Run this within an hour of the demo ending:

  • "Find today's demo call with [company] in Fireflies and read the full transcript. Extract: (1) how THEY described their problem, quoted exactly, with the speaker's name; (2) every question they asked that we answered incompletely or deferred; (3) every commitment we made, with owner and date; (4) any objection, stated or implied; (5) who on their side spoke least. They are often the blocker."
  • "Draft a follow-up email to [contact]. Structure: one sentence of thanks, their problem in their words ("you described it as..."), what we committed to and when, answers to anything we deferred if I can answer from our docs, and one clear next step with a proposed date. No feature list. Under 180 words."
  • "Then draft a private Slack message to me flagging the objections and the quiet stakeholder, separate from the email."
  • "Leave both as drafts. Send nothing."

Quote them, do not summarize them

A summary proves you attended.

A quote proves you listened. "You described it as 'three tools and none of them agree'" does more qualification work than any paragraph about your product, and a template physically cannot contain it.

The deferred-questions block earns its place the same way. "You asked about SSO and I said I would check. The answer is yes, on the plan we discussed" closes the open loop they were going to stall on.

Where does the human stay in the loop?

At the send. The draft lands in your drafts folder, you fix the one sentence that is slightly off-tone, and you approve. The Gmail gate is connector policy rather than the prompt's "send nothing" line, so it holds either way; the security model covers it.

The private flag message is the part reps skip. Objections belong in the CRM, and meeting notes into CRM updates puts them where Monday’s pipeline review will find them.

Two numbers that say it is working

Time-to-follow-up, which drops from days to under an hour, and reply rate on the follow-up itself. Grade the drafts hard for two weeks: the common miss is a polite throwaway line picked as "their problem" because it sounded thematic.

One rule fixes it: the problem statement has to be something they said with numbers or named tools in it. Every meeting, not just demos, is meeting follow-up automation.

Frequently asked questions

Yes, when it reads the transcript rather than guessing. A companion pulls the prospect's own problem statement, your commitments and their objections from the recording, then drafts a sub-180-word recap. The send waits for your approval.
